Job Description:

The Receptionist represents the company as the first face that visitors and guests will greet when they arrive at iCare. Under the direction of the Administrative Office Manager, the Receptionist greets visitors or others having business transactions with the company, and internal staff, in a warm and professional manner. The receptionist notifies appropriate person when visitors arrive, and operates the switchboard to receive and relay incoming calls.

  • Present a professional 'face of iCare' when greeting guests, vendors and employees in person, assist and direct clients and visitors to the area; carefully and accurately check clients/visitors in and out.
  • Answer phone calls with accuracy, speed and courtesy, communicating with the public in a professional, pleasant and efficient manner at all times. Ensure callers are connected to the appropriate department and/or person, voicemail or phone queue.
  • Maintain a professional environment in the lobby and front desk area.
  • Prepare all outgoing certified mail on a daily basis and log/route any returned certified mail to the appropriate department/person.
  • Process all outgoing FedEx and UPS shipments.
  • Acts as primary contact for all conference room scheduling and maintains the calendars on a daily basis. Assists staff with conference room conflicts.
  • Perform other duties/projects as requested/assigned by AOM to support various departments in the company.
  • Perform various backup duties for Administrative Services Representative.


Experience and Skills:

  1. High School Diploma or Equivalent
  2. Ability to effectively communicate thoughts, ideas, and information both orally and in writing.
  3. Strong interpersonal skills and ability to effectively interact with persons from a variety of different backgrounds and experiences in a professional, diplomatic and courteous manner
  4. Ability to work effectively and cooperatively as a team member. Develops and maintains effective working relationships with clients, employees and visitors.
  5. Skill and ability to prioritize assignments, change priorities and meet deadlines.
  6. Knowledge and skill in the use of personal computers and various software applications including Microsoft Word, Excel, Outlook as well as the ability to learn the software applications unique to the organization.
  7. Ability to work independently with minimal supervision and to make independent decisions to creatively address needs and concerns.
  8. Skill and ability to provide clear, accurate information to callers and visitors in a positive, friendly manner.
  9. Flexible and highly adaptable.
