Job Description:

This position serves as an Administrative Assistant supporting our Care Management team.

  1. Responsible to provide all administrative support and functions for the assigned functional area.
  2. Provides confidential administrative support services, including filing, typing, editing, faxing, preparing correspondence, presentations and business reports, taking messages, copying, distributing information and special projects.
  3. Schedules meetings and corresponding meeting places when necessary.
  4. Responsible for the development and maintenance of an efficient record keeping system and company business files; classify, sort, and file correspondence as directed; forwards non-routine matters to appropriate party for review.
  5. Maintains appointment calendar(s), schedules appointments and meetings, notifies appropriate personnel, prepares material and makes arrangements for appointments/meetings, coordinates travel schedule(s).
  6. Understands and adheres to company record management process and maintains/stores department records appropriately.
  7. Acts as a liaison between the department and various internal and external contacts.
  8. Maintains positive communications with all parties; facilitates appropriate follow-up activities.
  9. Participates in front desk rotation when backup is needed.
  10. Fully participates in iCare’s Compliance Program, including compliance with iCare’s Code of Conduct, policies and procedures, and all applicable Privacy and Security Laws.
  11. Performs other duties as assigned.


Experience and Skills:

  1. Associate Degree or equivalent job related experience.
  2. Maintain extreme confidentiality; demonstrate high standards and integrity have a passion for business.
  3. Detail oriented, well organized, able to manage time and multi-task to accomplish a multitude of tasks with conflicting priorities and timelines.
  4. Ability to tolerate peak workloads and multiple assignments while demonstrating a calm demeanor and retain composure in stressful situations.
  5. Extremely team-oriented with a "do whatever it takes" attitude.
  6. Strong Excel, Word, PowerPoint and Outlook skills.
  7. Knowledge of general business practices.
  8. Skill/ability to work effectively and cooperatively as a member of a team.
  9. Knowledge/skill/ability in implementing customer relations principals and techniques; responding to customer needs; managing customer complaints, etc.
